Executive Assistant to the CEO
Location: Clare, Nova Scotia
Salary: Starting at $60,000 annually for the right candidate

We are looking for an exceptional Executive Assistant to work directly with the CEO of a growing group of successful companies spanning housing, construction, property development, retail, hospitality, healthcare, food service, and more.

No two days are alike. One morning you may be coordinating a housing development project, and that afternoon helping prepare for a board meeting, organizing travel, or assisting with the launch of a new business initiative.
What You’ll Do
As Executive Assistant, you will serve as the CEO’s right hand by helping coordinate priorities across multiple companies.
Responsibilities include:
Manage the CEO’s calendar, appointments, and daily schedule.
Coordinate meetings, prepare agendas, record minutes, and track follow-up items.
Draft professional correspondence, reports, presentations, and business documents.
Manage confidential communications and sensitive information.
Coordinate travel arrangements, accommodations, and executive itineraries.
Assist with strategic projects across multiple companies.
Liaise with managers, employees, government agencies, consultants, suppliers, and business partners.
Monitor deadlines and help keep major initiatives on schedule.
Conduct research and gather information for business planning and investment opportunities.
Assist with marketing initiatives, events, and company communications when required.
Support property development, housing projects, and new business opportunities through administrative coordination.
Help improve systems, workflows, and organizational efficiency.
Provide occasional support with HR administration and executive recruitment.
Perform other executive-level administrative duties as required.

Qualifications
Minimum 1 years of executive, administrative, or senior office experience.
Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
Advanced proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with Microsoft Teams and cloud-based software.
Excellent organizational, time management, and multitasking abilities.
Valid driver’s licence and reliable transportation is required.
